Lecture and Poster Presenter Guidelines
Lecture Guidelines
We are providing these instructions to speakers in order to minimize the chances of technical difficulties with the presentations and to ensure that the presentation schedule is maintained. Your cooperation with these instructions is critical for a successful conference and we thank you in advance for your kind assistance with this.
Please arrive at your session at least 30 minutes before the start of the session to introduce yourself to the session chair and submit your presentation on a flash drive labeled with the presenter’s name. Please bring an additional copy of your presentation in PDF format to be used in case of software incompatibilities, or computer problems. All slides in your presentation should be sized to the aspect ratio of 16:9. It is important to note that if there is no time to submit your presentation between sessions, please submit the presentation during the break that immediately precedes your session.
Please approach the podium during the question period for the talk preceding yours so you will be ready when you are introduced as the next speaker.
Please allow time for questions, i.e., the 30-minute talk should allow 3-4 minutes for questions.
We recommend that you use the computer that is provided unless using your own computer is essential to avoid software/hardware compatibility issues. Computers running Windows XP will be available with PowerPoint, and Acrobat Reader software using standard default settings.
Please prepare all slides in your presentation to the aspect ratio of 16:9.
Please bring an additional copy of your presentation in PDF format to be used in case of software incompatibilities, or computer problems.
If you must use your own computer, please have your computer up and running to avoid requiring booting up before your talk can begin. There will be power outlets available (US grounded plug). Please bring plug adapters if required. Please remember to disable/turn off the screen saver. Should the computer go into standby mode (black screen, screen saver, etc.), please make sure you know how to bring it back to active mode. If this involves typing in a password, please make sure you know the password. If using a flash drive, do not remove the flash drive once installed for presentation.
Please come to the podium during the question period for the previous talk so you will be ready when you are introduced as the next speaker.
Kindly note that session chairs are under very strict instructions to keep their sessions on the schedule. Please allow 1-2 minutes of your presentation time for discussion noting presentations will not be allowed to exceed the total time allotted.
Poster Guidelines
An integral part of ISPPP is the Poster Presentations. These posters convey the latest breaking research and are extremely important. Participation in the poster program is strongly encouraged by conference participants as it promotes scientific dialog between researchers, and many good ideas are generated from these sessions.
We look forward to your participation in the ISPPP Symposium. Once you receive confirmation that your abstract has been accepted for poster presentation, you must confirm your intent to present the poster by registering and paying the registration fee online. Authors presenting a poster must be in attendance at their poster boards during the hours listed in the scientific program. It should be noted that all papers are accepted based on the understanding that one or more of the authors will complete the registration process to attend the conference as a conferee to present their work. In addition, by submitting the abstract you accept that the abstract may be emailed to meeting participants as part of the scientific program. Please plan to attend both days of Poster Sessions noting all posters will remain up for viewing all day during our conference. The schedule showing the day to present the poster will be included in the online scientific program nearer the dates of the meeting and will be listed in the Final Program handout that you will receive onsite. If you submit several abstracts, and many of them are accepted for poster presentation, it is your responsibility to make sure that all of your posters are covered at the assigned Poster Session presentations times. If you have more than one poster scheduled at the same time, please ask a co-author to help you or withdraw the extra posters. Note, if a co-author presents the poster, the co-author must also be registered as a conference attendee (not booth staff). Those with an exhibitor only badge will not be permitted to present posters during poster presentation times.
All poster presentations should be put up during our poster session. Do not remove your poster until after the poster session ends on Thursday afternoon (be sure to remove the reprint envelope where people leave business cards to request reprints of your abstract – anything remaining after the exhibit closes will be discarded). Poster presentations will be numbered in the Final Program handout that will correspond with the poster board number and its abstract located in the program. The poster number will be located in the Author Index at the back of the Final Program that you will receive onsite.
Poster Set-up
All posters will remain up for 2 days during our conference.
All poster presentations should be put up on the first day of the conference.
Do not remove your poster until after the poster session ends.
Only take your poster down after the final poster session (be sure to remove the reprint envelope where people leave business cards to request reprints of your abstract – anything remaining will be discarded).
Poster Board Size
Please prepare your poster not to exceed the size dimension of 42 inches wide (107cm) by 42 inches high (107cm).
We suggest the poster to be prepared as a printed single large sheet of paper or light weight plastic that can be mounted on a bulletin poster board.
The symposium will place the paper number on an upper corner of the poster board.
Reprint request envelopes will be located on a bottom corner of the poster board so you may receive business cards requesting reprints or details about the paper presented. Please be sure to remove the reprint envelope at the end of the each day, where people leave business cards to request reprints of your abstract.
All material to be posted must be prepared in advance because supplies for this purpose will not be available at the site.
Be sure to bring the supplies you will need to mount your poster, i.e., push pins, tape, scissors, etc.
Do not use Velcro, and do not write on or mark the poster boards.
Poster Preparation
A title banner should be prepared which is not more than 42 inches wide (107cm).
Lettering should be at least 1″ high. The banner should include the title, authors and address.
The minimum size of each page should be at least 8 ½” x 11.” Larger sizes may be used, but size consistency is encouraged.
A minimum letter size of 14 point is recommended. Large point sizes should be used for headings. Please use block lettering and not script.
For best visual effect, use simple to semi-complex figures that can be read easily (from 4 ft. away). Labels should use type at least 18 points high.
Present numerical data in the form of graphs, rather than tables (graphs make trends in the data much more evident). If data must be presented in table-form, keep it simple.
Visuals should be simple and bold.
Organize the poster into subdivisions, i.e., Introduction, Methods, Results, Discussion, Conclusions, and Literature Cited (avoid using too many citations).
Use bright colors to enhance detail.
We suggest the poster to be prepared as a printed single large sheet of paper or light weight plastic that can be mounted on a bulletin poster board.
If the poster is prepared as several sheets, arrange poster sheets for logical flow from top to bottom, left to right. Number poster sheets in the order you wish them to be viewed. Consider using connecting lines (for example, colored tape) to guide the viewer. Block and subtitle several poster sheets devoted to a specific part of the work; e.g., apparatus, sample work-up, experimental details, etc. One page should be devoted to a concise, straightforward statement of the objective of the work, and should be placed at the beginning of the board. Other pages should demonstrate in some detail the work that was done and typical results. Excessive detail is not encouraged. One page should present the results and/or conclusions of the work, and should be placed at the end of the poster presentation.
Besides your project, the text could also include future research plans or questions.
All posters must be written exclusively in English.
